Plain-English privacy, with the important details included.

This policy explains the browser-session case boundary, the account and technical information handled by service providers, retention, disclosure, security, and user rights.

The short version

Case fields stay in the browser; account and technical data do not.

Manual case inputs and results are not intentionally stored in an application case database. Clerk and Vercel still process the account, network, device, request, and security information needed to authenticate users and deliver the hosted service. Any exported PDF is controlled by the user and firm.

1. Scope and roles

This Privacy Policy describes the information practices of the RetireTax Scan Pro website and software service. It covers public website visitors, prospective subscribers, authorized advisor-account users, support contacts, and information entered into the manual case-entry workspace.

A financial professional or firm that enters information about a prospect, client, spouse, or household member is responsible for having authority and an appropriate basis to use that information. The firm's own privacy notice, agreements, and policies may also apply. Where the firm determines why and how client information is used, the firm remains responsible for that decision and related obligations.

2. Information we process

Advisor account information

Name or display name, email address, user identifier, account status, authentication and recovery information, and related account settings processed through the authentication service.

Website and technical information

IP address, browser and device type, operating system, timestamps, requested pages, referring information, cookies, session identifiers, authentication events, error and diagnostic information, performance data, and security or abuse signals processed by the hosting and authentication providers. If a visitor allows optional marketing measurement, Meta and LinkedIn may also process public-page visits, referral information, browser or device information, cookies, and related pseudonymous identifiers through their website tags.

Manual case information

Preferred names or initials, household and filing information, birth month and year or age-related facts, tax-return figures, account-category totals, income information, insurance and estate-planning responses, and other planning facts entered by the user. The scanner is not designed to collect Social Security numbers, complete account numbers, credentials, or identity-document numbers.

Communications and support

Information a user voluntarily provides when requesting support, providing feedback, responding to a survey, reporting a security concern, or otherwise communicating about the service. A caller to the automated AI phone assistant at 561-652-0459 may provide a phone number, general software question, and scheduling details for a 20-minute demo. A person who schedules online through Calendly may provide a name, email address, time zone, selected appointment time, and meeting responses.

Subscription and billing information

Subscription plan, billing status, Stripe customer and transaction identifiers, billing contact information, payment status, and related records. Complete payment-card details are entered in Stripe's hosted checkout and are not intended to be stored by RetireTax Scan Pro.

3. Current case-information handling

In the current manual-entry version, case inputs and generated results remain in the signed-in user's active browser session and are not intentionally transmitted to or stored in an application case database. The browser stores the active case in session storage so the user can move between case entry and report pages during that session.

Case information may remain on the device until the case is cleared, the user signs out or changes users, the browser session ends, or the browser removes the session data. Browser behavior, extensions, device backups, managed-device software, screenshots, printing tools, and other software outside the service may create additional copies beyond the operator's control.

A PDF printed, downloaded, emailed, or saved by the user is stored wherever the user chooses. RetireTax Scan Pro does not automatically retrieve, archive, or delete that exported file. The user and firm control its approval, delivery, retention, security, and disposal.

4. Why information is used

  • Create, authenticate, administer, and secure advisor accounts.
  • Deliver the website and requested software functions.
  • Maintain the active browser-session workflow and generate a requested report.
  • Respond to support, feedback, privacy, security, and account requests.
  • Use Calendly or the automated AI phone assistant to schedule a 20-minute product demo and use the phone assistant to answer general software FAQs.
  • Detect, investigate, prevent, and respond to fraud, abuse, errors, and security events.
  • Measure reliability and diagnose application or infrastructure problems.
  • Measure public website visits, campaign sources, demo-booking conversions, and marketing effectiveness through optional Meta and LinkedIn measurement when a visitor allows that use.
  • Administer annual subscriptions, payments, renewals, cancellations, refunds, and account access.
  • Comply with legal obligations, enforce agreements, and protect rights and safety.
  • Evaluate or complete a financing, merger, acquisition, reorganization, or transfer of the service, subject to applicable law and appropriate notice.

5. How information may be disclosed

Information may be disclosed to service providers that support authentication, hosting, security, application delivery, subscription billing, payment processing, and other enabled business functions. Current providers and their roles are identified on the Service Providers page.

Stripe processes hosted checkout, payment-card information, billing contact details, transactions, renewals, cancellations, refunds, and related fraud or security signals under Stripe's services and privacy practices. RetireTax Scan Pro receives subscription and transaction identifiers and status information needed to administer access, but is not intended to receive complete payment-card details.

Calls to the automated AI phone assistant use Twilio for telephone connection and voice routing and Grok Assistant for the AI audio conversation. Call-routing information and audio are processed to connect and operate the conversation, but RetireTax Scan Pro does not intentionally record these calls. The assistant is not intended for client or prospect financial information, billing or refund requests, account access, privacy, security, or compliance matters.

Online demo scheduling is provided through Calendly. Information entered on Calendly is processed under Calendly's services and policies and should not include client, prospect, tax-return, account, or other confidential financial information.

Information may also be disclosed when directed by the user; to the user's organization where the account or use is organization-controlled; to professional advisers supporting the operation of the business; in connection with a business transaction; or when reasonably necessary to comply with law, legal process, regulatory requests, enforce agreements, prevent harm, or protect rights and security.

RetireTax Scan Pro does not sell manual case-entry information and does not use those case-entry fields for targeted advertising. With a visitor's permission, Meta Pixel and LinkedIn Insight Tag measurement operates on selected public business-to-business product and advisor-education pages to measure visits, campaign attribution, and completed demo bookings. These tags are intentionally excluded from case-entry, report, account-registration, sign-in, and legal-policy pages. Meta and LinkedIn may process information collected by their tags under their own terms and privacy practices. The service does not intentionally embed a session-replay product.

6. Cookies and browser storage

The authentication service uses cookies and related browser technologies to maintain sign-in state, protect sessions, prevent abuse, remember necessary settings, and support account features. Blocking required cookies may prevent sign-in or other features from working.

The Meta Pixel, LinkedIn Insight Tag, and their related cookies or pseudonymous identifiers are optional. They load on eligible public pages only after the visitor selects Allow measurement. Approved UTM campaign labels may also be retained for the active browser session and passed to Calendly when the visitor schedules a demo. A visitor may decline without losing access to the public website or scanner and may reopen Cookie choices from the website footer.

The scanner uses browser session storage for the current case input and report state. Session storage is associated with the browser tab or session and is different from an application case database. Clearing browser data, signing out, changing users, or using the in-app clear function can affect the active case.

7. Retention

Manual case information is retained in browser session storage as described above and is not intentionally retained in an application case database. Exported reports remain wherever the user or firm stores them.

Account, authentication, security, support, subscription, payment, and technical information may be retained by the operator or relevant provider for as long as reasonably necessary to provide the service, maintain security, resolve disputes, enforce agreements, support business operations, and satisfy legal obligations. Provider retention practices may differ and are governed by their terms and policies.

The AI phone-assistant provider may retain phone number, routing, scheduling, security, and ordinary operational records according to its terms and legal requirements. RetireTax Scan Pro does not intentionally retain call recordings.

Calendly may retain demo-scheduling and related technical information under the applicable account configuration, provider terms, privacy notice, and legal requirements.

8. Security and data minimization

RetireTax Scan Pro uses a limited-data architecture and third-party authentication and hosting services. Reasonable administrative, technical, and organizational safeguards are intended to protect information appropriate to the service's current design. No electronic system, browser, transmission, provider, or device can be guaranteed completely secure or continuously available.

Users should use preferred names or initials, avoid unnecessary identifiers, protect credentials and devices, clear completed cases, and store exported files only in firm-approved locations. More detail appears on the Security and Data Handling page.

9. Privacy rights and choices

Depending on location and applicable law, a person may have rights to request access, correction, deletion, restriction, portability, or information about certain personal information; object to or opt out of certain processing; withdraw consent where processing relies on consent; use an authorized agent; or appeal a denied request. Identity and authority may need to be verified before a request is completed.

The service will not discriminate unlawfully because a person exercises an applicable privacy right. Some features may no longer be available if information required to provide them is deleted.

Requests concerning client information controlled by an advisor or firm should be directed to that advisor or firm. Requests concerning RetireTax Scan Pro account information or applicable privacy rights may be sent to terry@frsadvisor.com.

10. Children and geographic use

The service is intended for adult financial professionals and is not directed to children. Users must not enter information about a minor unless it is necessary for an authorized professional purpose and permitted by the firm and applicable law.

The service is operated for United States use. Information processed by providers may be stored or processed in the United States or other locations where those providers operate. A separate international-use assessment and any required transfer terms should be completed before intentionally offering the service outside the United States.

11. Changes and contact information

This policy may be updated as the product, providers, commercial model, or law changes. The current version and effective date will be posted on this page, and material changes will be communicated as required by applicable law.
